Privacy Policy

This Privacy Policy describes how Sowynet collects, uses, stores, and shares information when you use the Sowynet platform, including when you connect third-party accounts such as TikTok and publish content through Sowynet.
1. Information We Collect
We collect information needed to operate our services, including account details, workspace records, message content, appointment and service request details, and communication history submitted through chat, web form, phone, and messaging channels.
When you connect a TikTok account to Sowynet, we may collect and store account identifiers, basic profile information, and content publishing metadata needed to link the correct TikTok account to the correct Sowynet workspace and support authorized publishing activity.
2. Chat Monitoring and Recording
Conversations may be monitored and recorded for quality, safety, support, fraud prevention, and service improvement. This applies to supported chat channels including web chat, Meta messaging channels, and Twilio-powered channels such as WhatsApp and SMS.
2.1 AI Conversations and Transcription
Sowynet uses AI models (including Google Gemini) to understand, respond to, and help workspace owners act on messages across supported channels. Inbound message text, voice notes, images, and conversation history may be sent to AI models for classification, extraction, grounding, and response generation.
Voice notes are transcribed to text for AI reasoning. Voice audio and transcripts are stored alongside the conversation record for the retention window described in Section 6.
AI decisions that affect your account (such as a menu change, booking, promo publish, or broadcast) are recorded in an audit trail. Workspace owners can review these decisions from the workspace admin surface.
3. How We Use Information
We use information to provide and improve services, support customers, secure accounts, maintain compliance records, and generate operational analytics.
For TikTok integrations, Sowynet uses connected-account information to authenticate the user, associate the connected TikTok account with the right Sowynet workspace, upload and publish user-selected content, and reflect content publishing status inside the platform.
4. SMS Messaging Privacy
If you check an SMS consent box on a Sowynet contact form, booking form, appointment request form, or loyalty form, we use your mobile number and messaging interaction data only for the messaging program you selected. Customer-care SMS may include missed-call follow-ups, booking confirmations, appointment reminders, scheduling updates, and direct support replies. Loyalty and rewards SMS may include table offers, reward delivery, next-day visit follow-ups, loyalty point or reward updates, birthday rewards, and promotional offers from the business whose loyalty program you joined.
Message frequency varies based on your interaction with Sowynet and the services you request. Message and data rates may apply. You can reply STOP to opt out or HELP for help.
Text messaging originator opt-in data, SMS consent, and the mobile numbers collected for SMS communication purposes will not be shared with any third parties or affiliates for marketing or promotional purposes.
We do not sell, rent, transfer, or otherwise disclose SMS opt-in records or mobile numbers to lead generators, data brokers, or other third parties for their own marketing use.
Loyalty, rewards, birthday, and promotional SMS consent is collected separately from customer-care and appointment SMS consent. You can choose one SMS category without being required to choose another.
5. Sharing and Processors
We may share data with infrastructure and communication providers that process data on our behalf, including cloud, messaging, and payment providers, only as needed to operate the service. We do not sell personal information.
If you choose to connect TikTok to Sowynet, information required for authentication, content publishing, and related status events is processed with TikTok according to your authorization and TikTok's developer platform requirements.
6. Retention
Default retention windows, measured from the last activity on the record:
- Conversation messages and transcripts: 365 days.
- AI reasoning traces and audit events: 90 days.
- Voice-note audio files: 90 days (transcripts follow the conversation window above).
- Bookings, receipts, and loyalty claims: kept for the life of the workspace account for business, legal, and tax reasons.
Workspace owners can shorten these windows from workspace settings. When a retention window elapses, the system automatically purges or de-identifies the record.
7. Your Choices and Data Rights
Depending on your region and channel, you may request access, correction, deletion, or opt-out from non-essential messaging. For SMS, you can reply STOP at any time to opt out and reply HELP for assistance.
Workspace owners have self-serve data rights from the workspace admin surface:
- Export a full JSON bundle of workspace data (conversations, bookings, receipts, loyalty records, AI audit trail).
- Soft-delete the workspace with a 30-day restore window, after which all workspace data is permanently purged.
- Configure per-channel retention policies and recording disclosure copy.
End customers who interact with a Sowynet-powered workspace may request deletion by replying STOP (for SMS/WhatsApp) or by contacting the workspace owner. Public-chat visitors can use the widget's "Forget me" action, which triggers an immediate erase.
